I utilise technology to help me do my job better and more efficiently.

I do this so I can spend more time helping you and less time on administration.

How does it work?

I use a scribe software called Heidi. Heidi assists me by generating notes and documenting the discussion in your notes, allowing me to focus more on you than on taking notes. This technology is designed to accurately capture relevant information, ensuring a comprehensive and precise record of your care. This is something I would normally do manual however Heidi will help me do this more efficiently and more accurately. Heidi also assists in writing letters and reports more quickly from the notes it created.

All notes are reviewed for accuracy before they are saved into your file.

How long will my appointment information be stored?

Your conversation is live-streamed and transcribed, meaning that no audio recording of your conversation is ever stored. Once I have completed the notes from your appointment visit, your file will still be stored in my practice management software (Halaxy).

All transcripts are deleted from Heidi after 30 days if not before.

Do I have to give consent?

Consent is an important aspect of all health care interactions and Heidi supports therapists seeking consent from their clients prior to commencing intervention. While you can withdraw your consent at any time, I recommend you notify me prior to the appointment commencing if you don’t want me to use Heidi.
 

How is my privacy maintained?

All data is handled in accordance with applicable laws and regulations governing data privacy and confidentiality, including compliance with Australian Privacy Principles (APPs). Heidi operates in real-time, transcribing our conversation to create a detailed consult summary. As a result, Heidi doesn’t store your recordings or confidential information. All client information is de-identified and anonymised to ensure additional security of data held.

All data collected by Heidi Medical Scribe during your therapy sessions will be treated with the utmost confidentiality and will only be used for the purposes of enhancing your therapeutic experience. Your personal information will not be disclosed to any third parties without your explicit consent, except where required by law or professional ethics.

While all technology contains some risk of failure, Heidi has put protections and safeguards in place to ensure that your data is safe, and your privacy maintained. These safeguards include:

• Regular compliance audits and software updates to ensure their systems are always up to date

• Anonymization and de-identification techniques so your data is secure and unidentifiable

• Data Encryption and Access Controls so no unauthorized people can access your data
